Are you a highly organised and detail-oriented individual looking to contribute to a charity that transforms lives? Aldingbourne Trust is seeking an enthusiastic Administrative Assistant to support our Catering and Events and Central Office teams. This is a varied and rewarding role where your skills will help us deliver exceptional services to adults with learning disabilities and/or autism.

Key Responsibilities

Catering and Events Support

  • Manage bookings for conference rooms, corporate events, parties, and social gatherings (up to 100 guests).
  • Be the first point of contact for enquiries regarding availability, pricing, and booking details.
  • Coordinate with internal teams to ensure smooth event delivery.
  • Liaise with Finance to ensure accurate and timely invoicing.
  • Maintain booking records and calendars in line with data protection policies.
  • Deliver outstanding customer service to internal and external clients.

Central Office Support

  • Handle phone calls, door entry intercom, and shared inboxes.
  • Greet visitors and respond to initial enquiries.
  • Assist with general admin tasks including correspondence, filing, data entry, and minute-taking.
  • Manage office supplies and conduct stock checks.
  • Organise meetings, including scheduling, agendas, and follow-ups.
  • Maintain accurate databases and support project coordination.
Person Specification

Skills & Experience

  • Proven administrative experience.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication.
  • High attention to detail and accuracy.
  • Proficient in Microsoft Office and Microsoft Teams.
  • Comfortable using AI tools and project management software.
  • Positive, proactive, and customer-focused attitude.
  • Ability to collaborate across multiple teams.
  • Experience in office management and operational coordination.
  • Ability to monitor performance against KPIs and deliver measurable results.
